Hostel Manager (Summer 2018 in Dublin - to start ASAP!)

Working hours: 24hour reception (job will be 35-40 hours per week)
We are recruiting for a Manager to work at one of our Student Campus buildings in Dublin which we rent out to leisure guests of all ages and from all around the world. You will welcome guests and work with our team and suppliers to ensure the guests enjoy their stay. Someone who has previously managed a hostel/hotel would be ideal.
Role and Responsibilities:
Welcoming our guests, checking guests in and out, storing luggage, booking taxis, selling tours and products, taking payments, responding to requests, phone calls, emails and reviews.
Caring for the building, managing the keys, reporting maintenance and tidying the common areas to ensure they remain clean and tidy for our guests.
Communicating with cleaners, generating housekeeping reports and monitoring progress to ensure the rooms are ready for 3pm check ins.
Linen management, without linen we can’t sell the rooms, therefore we closely manage linen deliveries and stock by keeping accurate records.
Team work, to ensure the best standards for our guests we all need to work together, so communication is key. You will need to communicate with the whole team. Talking and emails are just the start, you will also need to update handover notes, submit information for our accounts team for cash and charges etc, plus filling in linen records, maintenance records and incident reports. All the reports will be kept on the cloud so that all members of our team can view the information real time.
This role requires strong team and relationship qualities. We are looking for friendly people who can build rapport with our guests and team. A friendly attitude combined with a strong work ethic, problem solving resilience, great reliability and time keeping, plus a passion for continual improvement.
You will need to work on computers daily therefore Microsoft Word, Excel and general computer knowledge to pick up different software will be required.
Strong English language skills are required in both speaking, reading and writing. Although, we welcome any candidates who are visiting to improve their English further as we really value other language speakers such as Spanish, Italian, French, German, Cantonese.
As a Manager you will cover all aspects of the role of the Resident Assistant/Reception staff; however, you will also be in charge of overseeing, checking, chasing up and reporting to the wider team. The Manager position requires strong business, team and relationship qualities. You will need to motivate all members of your team, ensure everyone is pulling in the same direction. Therefore direct leadership experience in teams, clubs and other jobs will really help. You will be working closely with the Operations Director to ensure everything is running smoothly and implement any improvements.

Check-in and check-out guests in a friendly manner
Distributing key fobs to guests and housekeeping team
Dealing with requests from guests, any complains or positive feedback directed to you or the company in a professional and a polite manner
Answering e-mails from guests or other members of staff

Taking card and cash payments
Working with our reservation and accounts team at Head Office
Managing walk-in guests
Working alongside our cleaning team
Responsible for the overall tidiness of the hostel including the reception and staff room areas
Running errands appointed by a superior
Assisting the night and morning shift reception staff
Preparing all necessary documentation that would be required for the day: check-in lists, cleaning lists etc.
Dealing with late check-ins and early check-outs
Enforcing quiet hours across the accommodation
Dealing with emergencies during anti-social hours, if required
Responsibilities include but are not limited to:
– Supervising reception, room shift and cleaning staff on a daily basis, ensuring high standards within housekeeping, maintenance and reception
– Long working hours, if required
– Preparing the working schedule on a weekly or bi-weekly basis
– Make record of working hours of staff, complete time-sheets
– Be able to work both on reception and/or help cleaning team/room shifts if required
– Responsible for the overall smooth running of the hostel
– Dealing with emergencies outside office hours
– Dealing with requests from guests, any complains or positive feedback directed to you or the company in a professional and a polite manner
– The role requires that you work with the existing team to ensure absolute customer satisfaction and also meet or exceed sales and profit targets
